The Permissions Process

The Process

Faculty and staff request the assistance of the Copyright Permissions Center by submitting a copyright permission request for each source where permission is needed. Source information sheets are available for use and may be obtained from the Copyright Permissions Center, any Printing Services Copy Center location, or download the form in PDF format. You may submit a syllabus or other documentation provided it contains complete bibliographic information, including page numbers. You may also submit requests online by following the directions listed. Information is entered into our database and letters to publishers are sent out within 24 hours of submission in most instances.

For best results, please allow approximately 6 weeks for your permissions to be obtained. While some permissions may be granted within a day or two, others can take a month or more. This is especially true when requesting clearance for electronic or special projects. You may consult Publishers and Journals: A Guide to Fees and Response Times provided free of charge by the Copyright Permissions Center or the Copyright Clearance Center's title database (when directed to the Copyright Clearance Center's homepage through this link, click "find title " from the top menu bar to access the title database) for information regarding response times and royalty costs. Please note: The Copyright Clearance Center database is for estimation purposes only. Please submit any requests directly through our office.

During the permissions process, you will be updated periodically regarding any hold-ups or problems. After all permissions have been obtained, you will be notified and sent a pdf itemizing royalty costs. Of course, you are free to make any content changes you wish. Bear in mind that regardless of the type of work, reproduction cannot occur until positive permission is received. If you obtain your own permissions, documentation of these agreements will be required for Printing Services Copy Centers to reproduce the material.

What we need from you

Complete bibliographic information for each item submitted is required to process your requests. Please be aware that publishers will not respond to incomplete requests. If you are missing information, check the original publication. If that's not available, try looking it up in University Libraries Online Catalogs. Due to the large volume of requests handled by the Copyright Permissions Center, completed requests will be handled first. Any detective work left to our staff can significantly delay the submission of your requests.

If you are requesting material from an anthology, it is likely that the publisher of the anthology does not control rights to the material. You must check for a citation of the original source, either from the acknowledgments page or at the beginning or end of the selection. If there is an alternate citation, please provide both sets of complete information (i.e., as it appears in the anthology and as it is listed in the acknowledgment). This will assist us in identifying the appropriate rightsholder.

Remember, you must obtain permission each time an item is used. However, once our office has processed your requests, all source information will be kept on file. If you reuse material at a later date, you will only need to contact the Copyright Permissions Center, let us know the last time the material was used and the number of copies you will need, and we will call up the information from our database. Of course, you will need to alert us to any changes or additions to the material.
